The six fields that turn an agency inquiry into a useful brief
A practical intake structure that improves qualification without turning the first form into an interrogation.

Optimise for a decision, not a database
An agency inquiry form has two jobs: make it easy for a prospect to start a conversation and give the team enough context to decide what should happen next. Those goals compete when a form asks for twenty fields before a person has spoken to anyone.
The minimum useful brief supports one decision: should this opportunity move to discovery, request more information, or enter a low-touch follow-up? Everything else can be collected later if the opportunity progresses.
The six fields worth standardising
Use a small, bounded intake and make the internal processing consistent. The fields below are enough for many boutique agency opportunities without turning the form into a procurement questionnaire.
- Problem: what needs to change, described in the prospect's own words.
- Desired result: the outcome they believe they are buying.
- Timing: why now, and whether a real decision window exists.
- Budget frame: a range, not an exact number, if the form needs one.
- Decision group: who must approve the engagement.
- Current constraint: the thing that prevents progress today.
Use progressive qualification
The first form should not ask for everything the agency eventually needs. Use the initial answer to branch into a small number of follow-up questions. A prospect with a defined scope and urgent timeline may need a calendar link; an exploratory inquiry may need a useful resource and a slower follow-up.
This is where rules outperform generic AI summaries. Deterministic conditions can decide whether to ask for a budget frame, assign an owner, or create a nurture task. AI can help extract context and draft a response, but the routing policy remains inspectable.
Keep a human approval gate
Never send an automated response that reads like acceptance, promised availability, or a custom recommendation until someone has reviewed it. A safe workflow can create the CRM record, flag the missing fields, and produce a draft while leaving the final send to an owner.
The measurable result is not 'AI replied in five seconds.' It is a lower rate of incomplete briefs, a clearer owner assignment, and fewer opportunities lost between the form and the first useful conversation.
